Executive Assistant

POSITION SUMMARY

Office Responsibilities

Health insurance administrator

Vacation time coordinator / approver

Maintain petty cash account

Sort and distribute mail

Order office supplies

Maintain office equipment

Review and approve office equipment maintenance contracts

Holiday Party (venue, caterer, music, invitations, responses)

Holiday Cards

Maintain address book

Cover reception

 

Personal Assistant Responsibilities

President

Print, read, sort, and explain email

Calendar management

Contact management

Send, open, sort, and deliver mail

All on-line transactions (Car registrations, licensing, airline tickets, purchases, etc.)

Travel arrangements

Itineraries

Credit card reconciliation (Amex, Visa)

Light dictation, type correspondence

Health insurance claims (submitting and coordinating benefits)

Pay medical, dental bills – file all claims

Presidents Spouse– travel arrangements, ordering flowers, reconcile credit cards (Amex, Visa), cell phone usage, various misc. items

 

Senior Vice President

Send, open, sort and deliver mail

Assist with calendar management

On-line transactions (Car registrations, licensing, airline tickets, purchases, etc.)

Travel arrangements

Credit card reconciliation

Correspondence

Health insurance claims

Pay medical, dental bills – file all claims

Register children for school, camp, and sports

Verify payments for tuition, tutors, and activities
